Part Time Deputy Clerk/Treasurer Opening

The Town of Troy is seeking a part-time Deputy to the Clerk/Treasurer. 

 Deputy Clerk/Treasurer

This position assists and supports the Clerk/Treasurer. These duties can include assisting the Clerk/Treasurer with the maintenance of official documents, records, researching and preparing various reports and meetings. This position greets the town constituents, assists in requests, clerical tasks, and provides administrative support.  

 

Specific Job Duties and Responsibilities:

    • Open and sort correspondence
    • Answer phones
    • Filing
    • Order supplies
    • Copying
    • Typing
    • Preparing Deposits
    • Bookkeeping
    • Record Keeping
  • Receive and file land use and zoning application documents and payments
  • Compile and maintain a listing of all land use and zoning applications.
  • Prepare all necessary documents for Plan Commission, Town Board, and Board of Appeals meetings.
  • Maintain final plat files.
  • Act as the administrative support to the Park Board
    • Take Park reservations, compile and maintain the park calendar.
    • Issue boat launch permits and maintain annual launch permit report.
    • Maintain the file of open citations and coordinate with the Park Rangers.
    • Prepare all documents for Park Board meetings.
    • Coordinate with Hudson and River Falls Youth Baseball Clubs and maintain calendar.
  • Take minutes in absence of Clerk/Treasurer
  • Bill and collect all fire calls
  • Issue and file burning permits
  • Issue dog licenses and compile county license reports
  • Assist with Election Administrative duties
  • Schedule election poll workers
  • Maintain election poll worker training records
  • Manage the Alcohol and Operator license application process
  • Manage the license application process for Mobile Home Parks
  • Manage the Short-Term license application process
  • Bill and collect unpaid personal property taxes
  • Assist with the records retention process
  • General Accounting to assist the Clerk/Treasurer
  • Other assignments as necessary

 

Minimum Training and Experience:

At least two (2) years of prior experience in administrative work or equivalent experience. Prior Municipal or Government Experience preferred. Excellent written and verbal communication skills. Familiarity with Microsoft Office, QuickBooks, and/or WorkHorse.

 

Special Requirements:

Must be willing to work additional hours as needed including evenings. Must be able to pass a criminal background check. Must be a certified notary public or have the ability to obtain the certification.

 

Pay Range:

$20.50 – $23.75

 

Hours of Work: 

Monday – Thursday

9 am – 2 pm

Subject to change as needed
